About the role

The main purpose of the role is to provide dedicated executive support to the Director of the UCL Quantum Science and Technology Institute , and the Director of the QUES2T facility. This role involves coordinating with various internal and external stakeholders relating to UCL’s Quantum Science & Technology Institute, and related activities in the quantum domain. It includes managing a complex and busy diary to arrange meetings, interviews, appraisals, committee engagements and seminars. The role includes organisation of larger events including workshops and scientific conferences, as well as administrative duties including travel arrangements and processing expenses. Additionally, the position requires interfacing with HR, finance, and legal departments, handling confidential matters, mentoring staff, and providing cover during absences.

The role is funded for two years in the first instance and is offered on a part time basis ( hours per week, FTE).

About you

Proven experience of providing effective administration support to senior members of staff in a complex organisation is essential, as well as experience in organising and managing events and meetings. Applicants should be computer literate and familiar with the Microsoft suite of software to intermediate level, and possess excellent interpersonal skills. Applicants should be educated to A-level standard, or equivalent, or have acquired relevant working experience.

The role requires interaction with many people within and external to UCL across academia, government and industry thus a professional attitude, willingness to help, and ability to remain tactful and assertive are required in order to adequately execute the duties outlined.
