Job Description

Although our production and financial results are the engine that drives our business, it is the depth of capability in our people that will continue to determine First Quantum’s ongoing success. Reporting to the HR Manager, the Executive Assistant’s primary focus is the provision of comprehensive, high-level secretarial and administrative support to the Chief Executive Officer. The nature of this role requires that the successful candidate be intuitive, have demonstrable experience as an executive assistant, be confident working in a fast-paced environment and most importantly, possess a genuine passion for delivering exceptional service & the ability to build and maintain successful relationships while exercising professionalism and discretion. The individual will also be expected to support the CEO’s direct reports & the leadership team on an ad-hoc basis & will be accountable for London office management scope.

Job & Candidate Requirements

Key Responsibilities:

The Executive Assistant’ general accountabilities include, but are not limited to, the below:

Executive Support

Provide a high level of administrative and secretarial support directly to the CEO, using executive maturity and independent judgement, discretion, business insights, and perspectives to pro-actively Identify and anticipate needsCalendar/Diary Management.Provide strategic diary management, inbox management & prioritisation and time planning support. Exercise a sense of priority and awareness for high impact meetings, and urgent business needs, and ensures follow-upMeeting Management.Schedule, coordinate & facilitate meetings/appointments, conferences and events. Support with related meeting minutes/notes/agendas where required, ensuring seamless execution and timely follow-up. As & when required, prepare CEO for upcoming meetings (creation & issuance of meeting packs/briefing documents), including interaction with Board members and liaising with the Corporate Secretarial departmentTravel Management.Oversee and manage complex travel arrangements & itineraries (e.g., accommodation, transportation, security). Create detailed itineraries/agendas for daily activities, manage all travel logistics with the aim of maximizing trip itineraries/ productivity & support with preparing required visa entry documentation where applicableExpenses.Process detailed expense reports for the CEO’s expenditure to deadline and with accuracy (experience with Workday desirable)Event Coordination.Assist with events management and functions when requiredOther.Perform any other requests as directed by the CEO & support additional duties as assigned from time to time, including administrative scope for the London leadership team

Office Facilities Coordination

Manage general office administration & operations , including building access & protocols, office maintenance activities, inventory management, compliance with H&S/environmental regulations, vendor management & office documentation control Will be required to perform ad-hoc reception duties in the absence of the office receptionist

Qualifications:

An undergraduate or Bachelor’s degree in a relevant field of study

Experience & Technical Skills Required:

Substantial working experience as an executive assistant within a multinational company Mining or operational experience would be an asset Highly articulate & flawless communication skills , both written and verbal Exceptional organisational & administrative skills Computer fluency essential. Proficient in Microsoft application software (particularly Excel, Outlook & Word)

Some weekend work required & possible business travel to remote locations Candidates must have the right to work in the applicable region without visa sponsorship Fluency in English is required. Proficiency in other languages (Spanish) highly regarded
